Cotswold Children’s Parties – Booking Terms & Conditions

Thank you so much for booking with Cotswold Children’s Parties! It is a privilege to be part of any child’s party or special occasion and we can’t wait to entertain at your event!

Please read the following terms and conditions carefully. By making the initial payment, you confirm you are in agreement with everything in this document and the details in your booking confirmation.

Cancellation Policy

By paying Cotswold Children’s Parties the agency fee, you agree to book the party on the date and time set out in the booking email and pay the full payment before that date.

Cancellations:

  • Over 6 weeks notice: Agency fee will be refunded minus a £40 admin fee.

  • Within 6 weeks notice: £75 of the agency fee will be retained.

  • Re-booking: If you choose to re-book for a future available slot rather than cancel, your deposit will be transferred minus a £40 admin fee.

  • If you have already paid your entertainer the final payment and you need to cancel, they are not obliged to offer you any refund but will offer you an alternative date.

If we need to cancel due to unforeseen circumstances or ill health, we will offer a full refund, alternative available date, or an alternative entertainer. We and our subcontractors cannot accept responsibility for any other costs or suppliers associated with a cancelled entertainment booking. We run to a full diary so you must book in the knowledge that it is not guaranteed that we can cover cancelled bookings within the team.

General Terms

  • Details: It is your responsibility to check all details in your booking email are correct.

  • Safety: The overall safety of guests remains your responsibility at all times.

  • Power & Water: Your entertainer needs access to one socket for power (snow machines, bubbles, lights).

  • Outdoor Events: For outdoor parties, both the entertainer and the children require shade/covering for rain or intense sun.

  • Balloons: Loose balloons can distract children from the show. Your entertainer may gather loose ones and move them out of reach during the magic show to avoid distractions.

  • Sparklers: If using sparklers on the cake, please let your entertainer know during setup so we can time the “happy birthday” song perfectly!

All our entertainers have a DBS certificate, risk assessment, public liability insurance, and Safeguarding Policy available upon request via email before the party.

VIP Parties (Slime, Bath Bombs)

  • Allergies & Sensitivities: It is your responsibility to ensure no guests have allergies to ingredients (e.g., PVA glue, contact lens solution, baking soda, citric acid, scents/dyes). You agree to inform all parents/guardians that these activities are taking place. (You have a document you can share for this).

  • Supervision: The entertainer is insured to provide entertainment but not childcare; at least two adults must be present at the party alongside the entertainer (in case of medical emergencies etc).

  • Property & Mess: We cannot be held responsible for damage to property, clothing, or carpets. We strongly recommend hard floors or protective coverings. Please ring us if you are unsure.

  • Logistics: Access to a water supply or sink is required, and preferably a dishwasher for the mixing bowls!

  • Take-Home Items: Once the activity is finished, the care of the items passes to the guests. A full list of ingredients is shared with you to share with the children’s parents.
